Scope
Ibiza Private Reserve is operated by OLCI GROUP, S.L. (“OLCI”, “we”, “us”). This policy explains how we handle personal data when travel advisors, agencies, private client teams, suppliers or other professional contacts communicate with us or use this website.
Data we may process
We may process professional contact details, agency or organisation information, the contents of enquiries and client briefs, itinerary preferences supplied by authorised representatives, supplier correspondence and administrative or financial information required to prepare or deliver requested services.
Website enquiry form
Information submitted through our trade enquiry form is transmitted over HTTPS to our designated business email using Web3Forms as a form-delivery provider. To understand how an enquiry reached us, the submission may also include the page URL, referral source and campaign parameters. Web3Forms may process submitted fields and limited technical information for delivery, security and spam prevention in accordance with its privacy policy. Please do not submit passport, payment, medical or other sensitive guest information through the website form.
Purposes
We process information to respond to trade enquiries, assess and manage agency relationships, prepare proposals, coordinate requested destination services, support active travel, reconcile agreed services, meet legal obligations and protect legitimate business interests.
Client and guest information
Travel professionals should share only the information reasonably necessary for the requested service and should ensure they are authorised to provide it. Sensitive information is handled on a need-to-know basis and should not be sent by ordinary email unless necessary and appropriate.
Service providers
Where required to deliver an itinerary, relevant information may be shared with selected local suppliers or professional providers. Regulated services are delivered by appropriately authorised third-party providers where required by law.
International transfers
Because our trade partners, service providers and clients may be located outside the European Economic Area, communications and form delivery may involve international data transfers. Appropriate safeguards are used where required by applicable law.
Retention
We retain information only for as long as reasonably necessary for the relevant business, contractual, legal and record-keeping purposes. Form-delivery providers may retain limited submission or technical data according to their published settings and policies.
Your rights
Where applicable, you may request access, correction, deletion, restriction, objection or portability in relation to your personal data and may lodge a complaint with a competent supervisory authority.
Contact
Privacy and legal enquiries may be submitted through our trade enquiry form.
